Job Description

Client & Administrative Support

  • Assist with routine client service needs, including certificates, auto ID cards, policy requests, and basic coverage questions.
  • Maintain organized client files, documentation, and communication logs.
  • Help manage incoming phone calls and emails for the commercial department.

Policy Servicing

  • Process policy changes/endorsements such as vehicle updates, location changes, additional insureds, and other routine items.
  • Request and review policy documents for accuracy before sending them to clients.
  • Ensure all documentation is saved properly in the agency management system.

Renewal Assistance

  • Request loss runs, gather updated exposure information, and prepare renewal data for the Account Manager.
  • Assist with assembling renewal proposals and tracking renewal deadlines.
  • Deliver renewal documentation to clients once finalized.

Certificates of Insurance

  • Prepare, issue, and track certificates of insurance based on agency and carrier guidelines.
  • Handle urgent certificate requests promptly, especially for clients with contractual requirements or vendor deadlines.

Carrier Coordination

  • Communicate with carriers and underwriters to request endorsements, audits, quotes, and policy documents.
  • Follow up to ensure timely responses and support the Account Manager in managing carrier relationships.

System & Workflow Management

  • Enter and update client and policy data accurately in the agency management system.
  • Track open tasks, diaries, and follow-ups to ensure nothing slips through the cracks.
  • Support compliance with agency procedures and E\&O standards.
